Blue Hawk Tactical – Shipping, Delivery & Project Commencement Policy
Blue Hawk Tactical provides specialised security solutions including armed response infrastructure, guarding deployments, riot-control equipment, CCTV and LPR camera systems, alarm installations, access control, perimeter protection technologies, and related security hardware. Due to the operational nature of our services and our reliance on third-party suppliers, distributors, and technical installers, the following Shipping & Delivery Policy applies to all products, projects, and installations.
1. Payment Requirements and Project Activation
To ensure reliable procurement, installation readiness, and scheduling of technical teams, all projects must adhere to the following payment structure:
1.1 Small to Medium Projects – Up to R29,999
100% upfront payment is required before:
- Stock procurement
- Scheduling of installations
- Dispatch or delivery of goods
No goods or services will be shipped, delivered, or installed prior to full payment.
1.2 Medium to Large Projects – R30,000 to R79,999
A 75% deposit is required to initiate the project.
The remaining 25% balance is due upon completion of the work.
Completion includes installation, configuration, testing, and handover of the system.
1.3 Major Projects – R80,000 and above
An 85% upfront deposit is required due to the complexity, customisation, and high-value equipment involved.
The remaining 15% balance is payable upon successful project completion.
1.4 When Work Commences After Deposit
Work typically commences within 48 hours (two business days) of Blue Hawk Tactical receiving the deposit.
Operational Commencement Notice (Reworded – Legal Jargon)
Notwithstanding any other provision contained herein, all technical work, including but not limited to the installation, configuration, calibration, or commissioning of electronic security systems (such as CCTV, LPR, alarms, access control, and related technologies), shall commence within two to three (2–3) business days, being Monday to Friday, calculated from the date on which Blue Hawk Tactical receives the required deposit or full payment, subject always to stock availability and supplier lead times.
All security-related operational services, including armed response infrastructure, guarding deployments, tactical support services, riot-control operations, or any service requiring the allocation of field personnel or security resources, shall require a minimum of forty-eight (48) hours’ advance notice to enable proper planning, risk allocation, and resourcing by Blue Hawk Tactical.
Important Operational Clarification:
Where payment or deposit is received on a Thursday, commencement of technical work shall occur on the following Tuesday, due to the following industry-standard constraints:
- Most suppliers cease trading or operate with reduced hours on Fridays;
- Supplier warehouses and distributors do not operate over weekends;
- Logistical, procurement, and delivery functions are limited over weekends;
- Internal operational and technical team scheduling is executed during weekday business hours only.
This operational framework ensures that stock procurement, resource planning, equipment preparation, and deployment activities are executed in a manner that adheres to safety standards, operational efficiency, and compliance with Blue Hawk Tactical’s internal quality assurance protocols.
2. Stock Procurement and Supplier Availability
Blue Hawk Tactical works with a network of local and international suppliers for CCTV equipment, LPR systems, alarms, access control hardware, and security technology.
2.1 Stock Limitations
Blue Hawk Tactical cannot be held liable for delays caused by:
- Supplier stock shortages
- Discontinued products
- Import delays
- Supplier backorders
- Manufacturer delivery delays
- Load-shedding related warehouse disruptions
- Courier delays beyond our control
We do not guarantee availability until suppliers confirm stock.
2.2 Communication of Delays
Should any delay occur, Blue Hawk Tactical will:
- Notify the client promptly
- Provide updated ETA timelines
- Suggest alternative products (if applicable)
- Offer revised installation dates based on actual stock arrival
Our priority is full transparency and effective project continuity.
3. Delivery & Shipping Timelines
3.1 Standard Deliveries
For standard stock items (in stock with suppliers):
- Delivery or installation scheduling typically occurs within 2–5 business days after deposit and confirmation of availability.
- Larger or specialised equipment may require longer lead times.
3.2 Special-Order or Custom Equipment
Certain systems (e.g., LPR cameras, enterprise CCTV systems, access control servers) may require:
- Import lead times
- Firmware pre-configuration
- Licensing allocation
- Integration with client infrastructure
Timelines will be communicated per project.
3.3 High-Value Shipments
All high-value goods are transported using:
- Insured courier services
- Secure internal logistics
- Special handling where necessary
4. Installation Scheduling
Installation dates are subject to:
- Stock availability
- Technical team scheduling
- Access to client premises
- Safety clearance where applicable
- Environmental conditions (e.g., outdoor CCTV and LPR installations)
Blue Hawk Tactical will coordinate dates in consultation with the client.
Once stock is confirmed and the deposit is received, installations occur in the agreed timeframes unless operational constraints arise.
5. Client Responsibilities for Delivery & Installation
To prevent delays, clients must ensure:
- Clear access for technicians
- Electricity and network availability (if required)
- All necessary permissions (e.g., estate or corporate access)
- A representative is onsite for handover
- Accurate delivery address and contact details
If an installation is delayed due to client-related issues, a rescheduling fee may apply.
6. Risk, Ownership & Liability
- Ownership of all goods remains with Blue Hawk Tactical until full payment is received.
- Risk of damage or loss passes to the client upon delivery or installation.
- Blue Hawk Tactical is not responsible for damage caused by:
- Client negligence
- Improper use
- Alterations by third parties
- Electrical surges, lightning, flooding, or environmental conditions
Surge protection and proper maintenance are strongly recommended.
7. Shipping Costs
Shipping, delivery, or call-out fees will be indicated on the quotation or invoice.
Additional trips requested by the client may incur additional charges.
8. Delivery Confirmation and Job Completion
For installed systems, a Job Completion Certificate or Site Sign-Off may be required.
Once signed off:
- The system is deemed delivered, installed, and functional.
- Remaining balances become due immediately.
9. Force Majeure
Delays caused by factors beyond our control (supplier failures, strikes, riots, load-shedding, extreme weather, import delays, etc.) do not constitute breach of agreement.
We will communicate and manage these timelines to the best of our ability.
